How to build a template
Templates define what a Purchase Order, Quote, or Estimate looks like — which columns appear, how rows group, what numbers show. Pick a saved template above or click New, give it a name, then work top-down through the sections below.
  1. Columns — pick which fields appear in the table (every section below picks from these).
  2. Layout & sorting — document type (PO / Quote / Estimate), how rows group, sort order within groups.
  3. Identity columns — which non-numeric columns make a row unique (rows sharing these collapse together).
  4. Totals & summary — which sum column drives the headline + closing-page big number.
  5. Auto-scale / Customer markup — optional behaviours over your columns.
  6. Tax / Payment schedule — closing-page modules.
  7. Acceptance / Footer / Terms — final document content.

Click Save when you're done. The same template feeds the Build preview and the PDF export — what you see is what gets exported.

How to use: Click an attribute on the left to add it as a column on the right. Drag column rows to reorder them. Tick Σ sum for numbers that should total (Qty, Cost, Weight). Click 👁 to hide a column from the printed table while still feeding it into totals and Live Cost — useful for hiding Cost on customer-facing Quotes.
Layout & sorting
How to use: Pick a Document type — this sets the PDF header style and document number prefix (PO / Quote / EST). Use Group by to nest the table — e.g. Supplier → Category produces a Stramit heading with Roofing / Flashing subheadings inside. Sort within groups orders rows inside each leaf group (Name Asc is a sensible default).
Identity columns

Non-numeric columns that make a row unique. Rows sharing these collapse together in the preview & PDF.

Add columns first.
How to use: Tick the columns that should make rows distinct. Two rows whose ticked values all match get collapsed into one, with their Σ-sum numbers added together. Example: ticking Itemcode + Supplier means 84 instances of C42XSUR from Stramit become one row with Qty 84.
Totals & summary

Pick the sum column whose total drives the big "TOTAL" card on the closing page. Useful when SKU count under-represents the work (e.g. 64 lines but 3,349 screws).

How to use: Headline total is the giant number printed at the top of the PDF — pick Cost for money documents, Weight for tonnage-led docs. Closing-page big count drives the "TOTAL" card on the last page (Qty is good when you want "3,349 screws" instead of "64 line items"). Tick Show subtotals to print a sum row at the end of every group.
Behaviour
Auto-scale on edit

When you edit the driver column on a row in the Build preview, the listed dependent columns rescale proportionally. Example: driver = Measure, dependents = Cost & Weight — change a roof sheet's Measure 4.0 → 6.0 and Cost / Weight both scale by 1.5×. The driver can be any numeric column (Qty, Measure, Length, …); dependents are limited to total-bearing (Σ sum) columns since those are what scale meaningfully.

Tick any column that should trigger scaling when edited (Qty, Measure, …).
Pick at least one driver first.
How to use: Tick a Driver column you'll be editing in the Build preview (Measure or Qty most often). Tick the Dependent columns that should rescale with it (Cost, Weight). Then in the Build tab, change a row's Measure from 4 to 6 — Cost and Weight automatically scale by 1.5×. Leave both empty if you'd rather edit each cell manually.
Customer markup (internal — never shown on PDF)

When set, every value in the markup column is multiplied by (1 + Markup %) before totals, GST, and supplier subtotals are computed. The customer-facing PDF shows only the marked-up figure. Your Margin (marked-up − original) appears on the Live Cost panel — never on exported documents.

When checked, the Margin row on the Live Cost panel is suppressed for this template — useful when you're screen-sharing with a customer. The margin is still baked into the customer-facing price (markup and payment-schedule math run unchanged); only the on-screen breakdown is hidden.
How to use: Use this on customer-facing templates (Quotes / Estimates) where the price the customer sees is your cost plus margin. Pick the column to mark up (usually Cost) and enter the percentage (e.g. 30 for +30%). The PDF only shows the marked-up figure — your raw cost and margin stay visible in the Live Cost panel for internal tracking. Leave — none — for supplier-facing POs where no markup applies.
Closing-page modules
Tax
How to use: Tick Enabled to add a tax line to the closing-page totals. Label is what prints next to the number (e.g. GST). Rate is a fraction — 0.1 for 10% GST. Typing 10 is read as 10% (anything above 1 is treated as a percentage). Mode: Exclusive = subtotal + tax on top (most common for B2B), Inclusive = your prices already include tax and the line just reports how much of the total is tax.
Payment schedule (customer-facing, multi-stage)

Define a milestone-based payment schedule rendered on the closing page. Each stage's amount is computed at export time — pick a kind per stage to choose how the figure is derived. Leave disabled if a single-line payment_terms field on Profile / Supplier / Customer is enough.

How to use: Tick Enable, then add a row per milestone (e.g. 30% Deposit, 60% Pre-Delivery, 10% On-Completion). Each stage's Kind sets how its dollar value resolves at export time: Percent of total, Fixed amount, or Remaining balance. The schedule prints as a table on the closing page. Leave disabled if the supplier/customer's standard payment terms cover it.
Acceptance & Closing Strip

Optional block on the closing page (below the Payment Schedule): disclaimers strip, Payment Details + Acceptance of Estimate boxes, and trust badges. Bank fields pull from Company Profile; everything else is per-template.

How to use: Turn this on for customer-facing Quotes and Estimates. Reference label is the field name customers write on payment (usually Reference). Acceptance text is the body the customer signs against; the emphasis text prints below it in blue for emphasis. Add up to 6 short Disclaimers across the top strip (e.g. "Valid 30 days", "Prices exclude GST"). Bank details come from Profile → Payment Details.
Document content
Footer

Printed at the bottom-left of every page, inline with the "Page X of Y" counter on the right. Keep it short — single line. Leave blank to fall back to the Company Profile's Footer text.

How to use: One short line that repeats on every page next to the page number — usually company name, ABN, contact. Leave blank to inherit the default from Profile → Footer text; only override here when this template needs different footer text (e.g. a Quote template that omits ABN).
Terms and Conditions

Printed on the dedicated T&C page of every document from this template. Plain text or HTML (use <ul>/<li>/<b>/<p> for richer formatting).

How to use: Paste your terms — printed as a dedicated page at the end of every export from this template. Use plain text for simple paragraphs, or basic HTML tags (<p>, <ul>, <li>, <b>) for lists and emphasis. Different terms per document type? Save a new template — e.g. Quote T&C vs PO T&C.

Tick Include customer image on Notes page on customer-facing templates (e.g. Customer Quote) to print the hero image set on the Customer record above the Notes text. Leave unticked for supplier-facing templates (POs) so a customer's home photo doesn't end up on supplier paperwork.
